When you book directly with us, our cancellation policy aims to protect retreat leaders, facilitators, instructors, and all retreat guests, prospective or current. It is crucial to read and understand our payment/cancellation policy thoroughly before making a reservation. Please note that our O.W.R. retreats only accommodate a limited number of attendees to ensure a more personalized experience. Therefore, we have a cancellation policy in place to help guests and us personally share expenses that may arise from unexpected cancellations.
While nobody plans to cancel or postpone their retreat, unforeseen circumstances can arise. To protect yourself, you may consider purchasing travel insurance, although O.W.R. does not endorse any specific insurance provider. Please note that we cannot make any exceptions for reasons such as weather, injury/illness, or personal emergencies. Unfortunately, we do not offer refunds or credits in the event of failure to attend or complete the retreat, or for arriving late or leaving early.
There are several companies that offer trip cancellation insurance, which can cover your trip expenses in case you or your family experience a medical emergency before or during the trip. Additionally, this insurance can cover medical expenses in the event of an accident during the retreat. It is important to note that most travel insurance policies must be purchased within 14 days of making your reservation. Please keep in mind that OWR does not endorse any particular insurance company, and we cannot provide you with advice or guidance regarding these policies.
If you booked through BookRetreats.com: There is a different cancellation policy. Please refer to your correspondence with them for more information.
Please take note that we do not offer refunds or discounts due to late arrivals, early departures, flight cancellations, travel delays, or illness. If you decide to cancel your participation in the retreat for any reason, please be informed that the cancellation policy below will be applied without any exceptions.
We understand that unforeseen circumstances can occur, but please be aware that once you book with us, we incur expenses that cannot be reversed. Therefore, we strongly recommend that you purchase travel insurance if you have any concerns.

If for any reason O.W.R. needs to cancel a scheduled retreat, you have the option to transfer your full retreat payment to another retreat or request a refund of your payment. Please note that O.W.R. is not responsible for any expenses that you may have incurred in preparation for the cancelled retreat, such as airline tickets, loss of work, and other costs associated with your trip. We strongly recommend that you purchase travel insurance to cover any unforeseen circumstances. If you have any concerns, please feel free to reach out to us.
Deposits:
- All deposits are non-refundable.
- A 50% deposit per guest is due at the time of booking.
- Once the deposit is collected, you will receive a confirmation email that includes your room name, retreat dates, and any balances paid or owed by you.
- We will do our best to accommodate a one-time change of reservation, requiring a written request at least 21 days before your scheduled arrival. We will work with you to reschedule your retreat within 6 months for a fee of 10%.
Payment Balance:
- The remaining balance is due 21 days before the retreat start date.
- The remaining balance will be charged to the credit card you provided for deposit unless another payment method has been preapproved.
- If you paid in full at the time of booking, 50% (not including the deposit) will be refunded for cancellation more than 21 days before the scheduled retreat.
- If you cancel 0-21 days prior to the retreat start date, the remaining balance is nonrefundable. - Any refunds given will incur a 3% processing fee.
- No refund will be issued if cancellation is made less than 21 days before the event.
Forms of Payment:
We accept all major credit cards and debit cards with a credit insignia (from your bank). The card must have the name of the person granting permission to OWR to charge the card.
We can also accept payments through Zelle or PayPal.
Thank you for considering participating in a retreat offered by Oregon Wellness Retreat. However, before you decide to take part in any of our retreats, it is important that you understand and agree to certain conditions.
By participating in any retreat offered by Oregon Wellness Retreat, you acknowledge that you are doing so at your own risk and voluntarily accepting the risk of injury to yourself. You also agree to release Oregon Wellness Retreat from all claims or causes of action, whether known or unknown, arising out of negligence.
We would also like to remind you to consult with your physician before beginning any new regimens or activities. Your safety and well-being are of the utmost importance to us, and we want to ensure that you are physically and mentally prepared to participate in our retreats.
By choosing to participate in a retreat offered by Oregon Wellness Retreat, you are agreeing to the above conditions. We appreciate your understanding and look forward to helping you on your journey to wellness.
*After the declaration of COVID-19 as a global pandemic by the World Health Organization, the extenuating circumstances policy no longer applies because COVID-19 and its consequences are no longer unforeseen or unexpected.
Please note that if the retreat has to be postponed based on border closures, then a credit for a guests’ hold deposit will be issued to be used for the postponement date. If the retreat happens as scheduled, but a guest decides not to attend based on any other reason than a country's border closure, then the regular cancellation policy (stated above) will be maintained. If travel around the world is still being disrupted as the retreat nears, the final balance due date will be postponed until a final decision is made at the 1-month mark before the start date.
At OWR by BFF, we cannot offer any guarantees regarding the policies of other businesses, normal interruptions with your travel accommodations, or circumstances outside of our control. However, we promise to do our best to work with you and find the best possible solution for any extenuating circumstances that may arise during your retreat.
All attendees must agree to abide by any COVID regulations in place at the location where the retreat is held. We will follow all mandatory travel requirements, such as vaccinations, boosters, and tests required by law. Moreover, while on the retreat, guests must comply with all local regulations, such as wearing masks, possessing 'green passes,' and the like.
